Privacy Policy
This Privacy Policy explains how Sift ("Sift", "we", "us", or "our") collects, uses, and protects information when you use the Sift website and application at siftroles.com and app.siftroles.com (together, the "Service"). By using the Service, you agree to the collection and use of information as described here. If you do not agree, please do not use the Service.
1. Who we are
Sift is an independently operated job-search tool. It reads your resume, scans public job postings across the web, scores each posting against your profile, and presents a ranked shortlist for you to review. Sift does not submit job applications on your behalf.
2. Information we collect
We collect only what we need to provide the Service:
- Account information. When you sign in with Google, we receive your name, email address, and Google account identifier from Google's authentication service. We do not receive or store your Google password.
- Resume and profile content. The resume you upload and any profile details you provide, including work history, skills, target roles, locations, and search preferences.
- Job-search activity. The listings surfaced to you, the scores assigned, and the actions you take (approve, reject, archive, application status, and pipeline stage).
- Technical and usage data. Basic log and device information such as IP address, browser type, and pages accessed, used to operate and secure the Service.
We do not intentionally collect special categories of sensitive personal data. Please do not include information in your resume that you do not wish to be processed by the Service.
3. How we use your information
We use the information above to:
- Build your profile and match, score, and rank job listings against it.
- Operate, maintain, secure, and improve the Service.
- Provide the dashboard, market research, and pipeline-tracking features.
- Communicate with you about your account or important changes to the Service.
- Comply with legal obligations and enforce our Terms of Service.
We do not sell your personal data, and we do not use your resume or search activity to build advertising profiles.
4. How your resume is processed by AI
To score listings, Sift sends relevant text (such as portions of your resume and job-posting descriptions) to a third-party large language model provider (currently Google, via its Gemini API) for processing. This processing is used to generate fit scores and is essential to the Service. We do not control, and are not responsible for, the independent data practices of that provider. We encourage you to review Google's privacy terms for its AI and Cloud services.
5. Third-party services
We rely on a small number of service providers to run Sift:
- Google. Sign-in / authentication and AI language-model processing.
- Cloudflare. Website hosting, content delivery, and network security.
These providers process data only as needed to perform their function. Job listings themselves originate from public job boards and applicant tracking systems; when you choose to apply, you leave Sift and interact directly with those third parties under their own terms and policies.
6. Legal bases for processing
Where the EU/UK General Data Protection Regulation applies, we process your data on the basis of (a) performance of our agreement with you to provide the Service, (b) your consent, which you may withdraw at any time, and (c) our legitimate interests in operating and securing the Service.
7. Data retention
We retain your account and profile data for as long as your account is active. If you delete your account, we delete your associated application data. Backups and logs may persist for a limited period before being overwritten, and we may retain limited information where required to comply with legal obligations or resolve disputes.
8. Your rights and choices
Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can:
- Update your resume and preferences at any time from within the Service.
- Request deletion of your account and associated data by emailing us (see Contact below).
- Withdraw consent to AI processing by discontinuing use of the Service.
We will respond to verified requests within a reasonable time and as required by applicable law. We will not discriminate against you for exercising these rights.
9. Cookies and local storage
Sift uses only the cookies and browser storage necessary to keep you signed in and to operate the Service. We do not use third-party advertising or cross-site tracking cookies.
10. Security
We take reasonable technical and organizational measures to protect your data, including access controls and encryption in transit. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
11. Children's privacy
The Service is not directed to individuals under 18, and we do not knowingly collect personal data from them. If you believe a minor has provided us data, please contact us and we will delete it.
12. International users
The Service is operated from the United States. If you access it from outside the U.S., you understand that your information may be processed in the United States and other countries, which may have different data-protection laws than your own.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be communicated through the Service where practical. Your continued use after an update constitutes acceptance of the revised policy.
